Most teams do not need custom software on day one. They need a clear workflow, a tool that fits most of it, and a plan for the 20% that does not.
Start with the workflow, not the stack
Write the steps a person actually takes to close a job — from request to done. If a well-known SaaS product covers those steps with light configuration, buy it. Custom work should wait until the gaps are expensive, frequent, or tied to how you compete.
Signals that custom is worth it
- You are paying for three tools and still exporting CSVs between them every week.
- Your pricing, compliance, or inventory rules are unusual enough that SaaS workarounds break.
- The product itself is the business — not a side process.
What to bring to a discovery call
A one-page workflow, the systems that must stay, a rough volume of users and records, and a timeline that is honest about decision-makers. That is enough to get a scoped proposal instead of a vague estimate.
